Welcome to your Cgov Customer update. Every two months we will provide all of our clients with an update on news and new apps from the Cgov Community. Please contact our office on (07) 3211 4444 if you have any questions or would like additional information on any of the topics below.

Contents
Welcome to 2020
New Partners
NDIS Restraint Management
M&M Audit Tool Solution
Victorian User Group Meetings
New Product Features
Office Update

Welcome to 2020:
A belated welcome to the New Year. 2020 has started in a blaze of activity for Cgov. This year will see new Solutions released and a focus on deploying Cgov as a “No Code Application Development” Platform. Free trial environments will be available for healthcare organisations to train superusers to build local Apps to replace spreadsheets or single purpose database or sharepoint processes with automated online Cgov Solutions. This year Cgov will also expand our integration capability to help healthcare organisations develop Apps that integrate with existing EMR, HR, Pharmacy or Finance systems.

Cgov New Partners:
This year we have established a new strategic partnership with Symplr a US specialist Healthcare GRC Software Company, based in Huston Texas. Symplr provide us with a much bigger company supporting the ongoing development of our Platform, TPSC Cloud. They also provide the opportunity for Cgov to offer new products to our Australian and NZ customers, and for us to offer Solutions in the US market. If you visit www.symplr.com you will very quickly see the synergies between the two companies, as we both focus on credentialing and workforce management Solutions.

NDIS Restricted PracticesSolution:
Under the National Disability Insurance Scheme (Restrictive Practices and Behaviour Support) Rules 2018; certain restrictive practices are subject to regulation. These include seclusion, chemical restraint, mechanical restraint, physical restraint and environmental restraint. States and territories health services remain responsible for the authorisation of restrictive practices, thus Cgov has developed a solution to manage the process for the application, approval and monitoring of all Restrictive Practices to be compliant with NDIS and State regulations.

M&M Audit Tool:
Developing a fully integrated Solution for Mortality and Morbidity reviews and investigations has been a high priority requirement for almost 10 years. The challenge has been to integrate all the data sources into a simple workflow for Senior Dr’s and Patient Safety Staff to operate. The new Cgov M&M Solution has now met these requirements for live use at large Health Services. Please call the office for details or a demonstration.

Victorian User Group Meetings:
As a result of feedback at last year’s Conference we are scheduling product specific User Group and Networking Meetings in Melbourne for local customers. The first of these meetings are on 3rd and 4th March at the Royce Hotel, 379 St Kilda Rd from 11.30 to 1.30pm. The Meeting on Tuesday 3rd March will focus on Credentialing including proposals for the sharing of data as recommended for the Victorian Centralised Credentialing System VCCS. The meeting on Wednesday 4th March will be for customers to discuss requirements for the replacement of VHIMS (Riskman) in Victoria with new Solutions for Incidents, Complaints, Risk and Quality Improvement. If you want to attend these User Group meetings, please contact Sumer in the Brisbane Office ASAP on 07 3211 4444.

New Cgov Product Features:
This year there will be a regular flow of new features released every month as part of Constructive Maintenance. As with all our Subscription Agreements, these enhancements are included in your local Licenses at no additional subscription cost. In February you will see a new feature that allows you to display a link to open attachments from Back Office tabs. It works by including Attachment Questions from any form or invitation in the edit tab layout tool to configure the Back Office of any Cgov App. This removes the requirement to navigate to the attachments section to see and open a specific attachment. This will also help users who want to open attachments on an iPad or other touch screen device.

Office News:
Our Melbourne Office has relocated to the City on Level 36, 360 Elizabeth Street with their new direct phone number now 03 9026 5997. Also please welcome Nadya and Matt who will be starting as Junior Consultants in the Melbourne office this week, and Emily Mills who is starting in the Brisbane office this week as an Administration Assistant.

Our relationship with Avant has already led to the release of a new webservice for Certificates of Insurance being available to all Cgov Customers. This reduces the time and effort to maintain current indemnity information for all those Dr’s insured with Avant. We are working with PHP in America to share intellectual property as we each develop new Apps for safety, risk, quality, compliance and operational requirements. We also share integration solutions for EPIC, Cerner, WebPAS and other EMR and Medical HR systems.

NDIS Restricted Practices Solution:

Under the National Disability Insurance Scheme (Restrictive Practices and Behaviour Support) Rules 2018; certain restrictive practices are subject to regulation. These include seclusion, chemical restraint, mechanical restraint, physical restraint and environmental restraint. States and territories remain responsible for the authorisation of restrictive practices, thus Cgov has developed a solution to manage the process for the application, approval and monitoring of all Restrictive Practices to be compliant with NDIS and State regulations.

S8 Opioid Notification and Approval:
New rules are in place for the notification and approval of S8 Opioid Drugs. Cgov has developed the Solution for healthcare organisations to manage processes for the Notification of unrestricted S8 Drugs and Approval for the prescription of restricted S8 drugs. This data is then cross referenced with the new National Data Exchange (NDE) for S8 Drugs. Reports can be run to track multiple prescriptions for the same patient and to cross reference the dispensing of S8 drugs against the correct notification or approval processes.

New Cgov Product Details:
This year we have consolidated all our apps and solutions to reflect our position as a specialist Low Code Applicational Development platform for healthcare. We use the TPSC Codeless Development Toolkit with our knowledge of healthcare risk, compliance and operational requirements. Thus you now have access to our new Solution Library including:

Cgov Conference Report:
The Conference at QT on the Gold Coast was a great success. More than 50 people attended from 21 customers. The new program which had a lot more emphasis on Networking opportunities and product education was well received. We have sent feedback forms to all those who attended, please send us your comments and suggestions for next year. The Conference in 2020 will be at QT again on 14th and 15th September.

Cgov New Capabilities:
This year at the Conference we announced a number of new Cgov features for:

SMS Messaging integrated with Cgov Workflows

CgovAccess archiving of Cgov Files to HP TRIM

Grouping attachments into single PDF’s

Customising Sent Email Addresses

Avant webservice for Certificates of Insurance (COI)

See the details of each new feature below or call us on 07 3211 4444 for a demonstration.

SMS Messaging:
Cgov can now send SMS messages to mobile phones, including the ability to send links to open Cgov Invitation Forms. This means you can now replace email notifications, reminders or requests for additional information with SMS messages. This new feature based on CgovAccess also allows for users to send ad hoc SMS to individuals as well as bulk personalised SMS’s to groups. Customers with Enterprise Licenses have access to this feature with no additional cost.

Grouping Attachments:
Often in a workflow a user needs to access and review several attachments, like a Dr’s CV, Qualifications and Referees. CgovAccess now allows you to use a workflow action to export any group of attachments and merge them into a single PDF file. CgovAccess then imports the new merged PDF file back into the correspondence folder of the original File. Thus a reviewer only needs to find and open a single PDF to complete their task.

Customising Sent Email Addresses:
Cgov has now developed the ability to offer SPF records for customised email addresses. Many customers may have experienced significant delays in the setup of new email addresses, however now Cgov has developed this capability inhouse and can create and implement SPF records for customised email addresses.

Avant Webservice for Certificates of Insurance COI:
The Cgov webservice for Avant COI data has now been upgraded to be available to all customers. Reduce the time and effort to maintain current indemnity information for all those Dr’s insured with Avant. Additional webservices for other insurers are in the pipeline.

New Cgov Product Details:
We released new versions of all current Cgov Solutions at the Conference and the Product details on our website will be updated soon.

Welcome to the countdown to 30 June. This year has flown by. There are several key dates to check for compliance with common Cgov workflows. 31 May is the AHPRA Registration renewal date for all Nurses. Any customers using our live AHPRA updates and risk management for their Nursing workforce will be able to check the progress of any overdue renewals over the next 2 weeks. 30 June is a common renewal date for Indemnity for Doctors in every Credentialing or Workforce Management Solution. Depending on your local business rules Cgov will be sending reminder and overdue notices for Indemnity files that are not updated. Please also be aware we have just finished a successful pilot of the automatic webservice to update Indemnity Records for all Avant insured doctors. This means they never need to provide copies of insurance documents again. This webservice will be made available to all Cgov customers in the near future.

End of Financial Year Planning:

Cgov Quality Checks:
Over the coming months Cgov will be undertaking reviews on all current Solutions and Apps in live use. These checks are a free service and are used to review the usability and user experience in each online form and backoffice configuration. A Quality Review Report outlining any recommendations and observations we have made; will be developed and made available for you to review. Your Cgov consultant will be in contact with you to discuss options if you would like to implement any of these recommendations.

Staff Medical Records Solution:
The Cgov Staff Medical Records Solution has been updated to meet the latest requirements for Infection Control in NSQHS Standard 3 Cgov Staff Medical Records (SMR) is a set of integrated business process applications within the Cgov Workforce Management Solution. Cgov SMR is responsible for managing online staff health assessment records, including allergies, diseases and vaccination records and managing the reporting and follow up for exposure incidents. The solution may be integrated with payroll or HR systems (using csv or webservice integration) or integrated with other Cgov Workforce Management Applications such as AHPRA Registration and Risk Management or Staff Misconduct and Grievance Management.

Office News:
Everyone is busy planning quality checks and preparing for our EOFY on 30 June. The focus for Consultants during this period is on our professional development program and adherence to strict process control systems that ensure we can continue to grow without loss of quality and trust in our customer relationships.

Cgov Annual Conference: The Cgov Annual Conference provides our clients a chance to network, review case studies from successful Cgov implementations; and an opportunity for users to provide feedback on the future development of Cgov. Don’t forget this year is our 10th anniversary which will be celebrated at the Conference Dinner.
Date: 9th – 10th September 2018
Location: QT Gold Coast, 7 Staghorn Ave, Gold Coast, QLD, 4217
Enquiries: Call 07 3211 4444

System Managers Webinars
The Systems Managers Training Webinars scheduled on the last Thursday of each month will recommence in February. We will distribute an online form early in February so you can register and suggest topics.

Security and Privacy
At the start of every year we review and update all our internal privacy policies and security settings. This includes a review of personal and sensitive data held in Cgov Solutions. You should also be aware of the presence of personal and/or sensitive data in each of your forms and in the back office of each App. Please maintain the security of your Cgov passwords and notify your local System Manager if new users need to be added for 2019 or old users removed.

Cgov Documentation
New Cgov documents are now being used for all project plans including for change requests to existing Apps. New documents that you may see this year are for the sign-off of IPS phases for every project, and also for Systems Manager Training; and for Support Services.

Cgov Support Services
As we start the new year it is a good time to remind all users of the Cgov Support Services available. There are three types of Support:

First Line Support: First line support is provided by your local Systems Manager. Help desk requests, changes to users, updated or new reports; or updates to system correspondence should all be dealt with locally.
Cgov Corrective Maintenance: Issues covered under the Cgov Warranty for any App should be reported using our online issue management system IDIS. Users should report an issue to their System Manager first then they can forward it to us.
Cgov Additional Support: Requests for assistance that are not covered by Warranty are dealt with as Additional Support. Every Customer has an annual budget of hours for this support that you can draw down during the year. It can be used for minor configuration changes, additional training or just for advice. Requests for support should also be submitted using IDIS.

Office News
Everyone is back at work safely after a break over the Christmas and New Year period. During February we are recruiting four new Interns to manage the workload expected in 2019, and to manage our continuous business growth. Two of the new Interns will be in our head Brisbane Office and two Interns will be in our Melbourne Office.

Thankyou: Cgov will celebrate our 10th birthday in September 2019, with a special event at our Annual Conference. So as we look forward to our second decade I wanted to offer my personal thanks to all those who have made the journey with us. Since 2009 we have implemented 138 Solutions to 42 different Customer Organisations in every State of Australia and in New Zealand. Today we are managing 22 concurrent projects and have resolved the 6,234th IDIS Issue. As we commit ourselves to this, and future work, we strive to live by some very specific values:

Exceeding your expectations, delivering solutions not software

Honesty

Align our success to your success

Initiative

I hope we can continue to work with you all for another 10 years.
– Darryl Stuart, CEO

Browsers Supported by Cgov: In response to recent issues, users who access Cgov on older laptops should check the version of the browser they are using. Users can access Cgov Solutions from any supported browser: including IE10 or 11, and the latest 2 versions released for Chrome, Safari or Firefox. Access by non-supported browsers such as IE9 or older versions of Safari may still work but some features may not display correctly and the security enhancements in later versions will not be available.

Smartphones Supported by Cgov: Users can access Cgov Mobile First forms on any smartphone running iOS or Android operating systems.

Cgov Engagement Solution: Cgov has re-launched a new version of our Solution for Consumer Engagement. This is a consolidation of existing business process Apps for Discharge/Clinic exit surveys, Patient Experience Surveys, Consumer Participation Registers and Longitudinal Studies of Patient Outcome and Quality of Life. This will be a collaborative product development with input from several Health Services in both Queensland and Victoria.

Staff Grievance and Misconduct Management: This Solution is now in live use to deal with the confidential processes for staff grievance and misconduct. This has been an urgent requirement in many Public Sector organisations.

Change Management and Stakeholder Engagement: As part of our experience implementing over 120 projects we have recently developed our own Change Management and Stakeholder Engagement App. It provides a solution for Customers to assist in planning and tracking records of Stakeholder engagement to achieve change management outcomes as new IT or HR systems are implemented. It could also be used for tracking the implementation of clinical systems. We are making this App available to all existing customers as part of their current Solution Licenses. Please contact me directly if you are interested.

Office News: Christmas decorations go up on the 1st December here at Cgov. From all of the Cgov Team, we would like to wish all our customers around Australia and New Zealand a very Merry Christmas with a welcome break after a busy year and a Happy New Year for 2019. The Cgov Office will be closed from 24th Dec to 4th January. During this time we will still respond to Critical Pri 1 Issues and to reported IDIS Online Support Requests (OSR). However the office will not be open and the phones will be forwarded to our message bank during that period.
